About Shopify

Opportunity is not evenly distributed. Shopify puts independence within reach for anyone with a dream to start a business. We propel entrepreneurs and enterprises to scale the heights of their potential. Since 2006, we’ve grown to over 8,300 employees and generated over $1 trillion in sales for millions of merchants in 175 countries.

This is life-defining work that directly impacts people’s lives as much as it transforms your own. This is putting the power of the few in the hands of the many, is a future with more voices rather than fewer, and is creating more choices instead of an elite option.

About you

Moving at our pace brings a lot of change, complexity, and ambiguity—and a little bit of chaos. Shopifolk thrive on that and are comfortable being uncomfortable. That means Shopify is not the right place for everyone.

Before you apply, consider if you can:
  • Care deeply about what you do and about making commerce better for everyone
  • Excel by seeking professional and personal hypergrowth
  • Keep up with an unrelenting pace (the week, not the quarter)
  • Be resilient and resourceful in face of ambiguity and thrive on (rather than endure) change
  • Bring critical thought and opinion
  • Embrace differences and disagreement to get shit done and move forward
  • Work digital-first for your daily work

About the role

We’re looking for a dedicated travel coordinator to join our dynamic and lean team of 1 to help provide exceptional support to Shopifolk.

What You’ll Do

  • Travel Support: Serve as a primary point of contact for travel assistance via Helpdesk and Slack channels (#help-burst-champions, #travel-expense), ensuring timely responses to inquiries.

  • Policy Compliance: Review and approve employee travel requests that fall outside of standard policy guidelines, ensuring adherence to company protocols.

  • Invoicing Reconciliation: Manage monthly reconciliation of Navan Trip Fees and maintain accurate billing records.

  • Documentation Maintenance: Keep our travel source of truth (Vault) updated and streamline team-wide resources on Google Drive/Folder.

  • Data Analysis: Prepare and analyze travel-related data for monthly, quarterly, and annual reports, including unused airline credits.

  • Vendor Support: Assist in preparing materials for quarterly business reviews with external vendors and contribute to special projects, such as Summit.

  • Policy Audits: Support quarterly policy audits and updates, ensuring our travel policies remain current and effective.

  • Rate Audits: Conduct quarterly rate audits in Navan for preferred vendors, ensuring competitive pricing for our travel needs.

  • Project Contributions: Offer assistance for special projects and internal ad-hoc requests related to travel reports from Navan.

  • General Administration: Participate in other program administration tasks as needed to ensure a smooth travel experience for all employees.

What You Bring

  • Experience: Previous experience in the travel industry and a strong background in customer service.

  • Data Literacy: Proficiency with Google Sheets and strong analytical skills for data management.

Bonus

  • Familiarity with the Navan platform is a plus!
